Please do not arrange delivery of your stands and materials prior to the day. This building is unmanned and no-one will be available to accept deliveries prior to the day. Items must be collected by 5:00pm on the same day.

When can I get access to the Hall to setup /breakdown?

Details will be released closer to the time.

Where can I park my car?

As we are a city centre campus, please note we do not have free parking on site. We advise using the Edinburgh Council pay and display on-street parking on George Square and Buccleuch Place. We would also recommend QPark on Quartermile, which is a 5 minutes walk.

Can I drop off materials before parking?

Yes - all exhibitors can drive to the rear of McEwan Hall to offload stands and materials directly into the building prior to parking. The delivery entrance is through the Medical Quad (at the back of McEwan Hall) and is accessed via Teviot Place, through the stone archway.   

What stand size can I have?

As per your booking, you will be allocated a space measuring approximately 2.5m x 2.5m. This space will contain a trestle table with a white tablecloth and 2 chairs. There is a no shell scheme – each exhibitor provides their own display boards/ exhibition stand to position behind the table. You will only have access to an electricity point if you requested this on your booking form. Please do not exceed the 2.5m x 2.5m space. 

Any exhibitor exceeding this space will be asked to take the stand down in line with our health and safety policy. If the stand isn’t causing any immediate issue, exhibitors will be given the option to either remove the stand, or sign an agreement to pay a penalty charge of 30% of the booking fee to allow the stand to remain.

When does the fair open to the students and graduates?

Opening Times: 12.30pm - 4.00pm

I have additional representatives attending, do I need to pre-order extra catering?

You should have specified on your booking form how many lunches you require. Two lunches are included in your stand package. If you would like to add additional lunches, please let us know ASAP via email: employers@ed.ac.uk. Additional lunches are charged at £9.50 +VAT each.

When is lunch available for delegates?

Lunch will be provided for delegates in McEwan Hall, Exhibitor refreshment area between 12.00pm-2.00pm. We are also happy to direct delegates to near-by cafes, if they have not pre-booked lunches. Please ask a member of our team on the day. Tea, coffee and snacks will also be available for the duration of the fair in the Exhibitor refreshment area.

Is there Wi-Fi available in the exhibition hall?

Yes, standard Wi-Fi is available in the Hall. Delegates will be directed to selected the Optify Network when they arrive and register. This network is free.

Who am I going to meet?

Coming onto campus is an investment of your time and money. Please read our 'making the most of the fair' webpage for details on our students and the types of questions you may get asked at this event.

What is the university doing around sustainability?

As part of the University wide campaign #ZeroWasteUoE, we are aiming to waste less, reuse more and recycle effectively. Fairs can generate a lot of paper and plastic waste. To support all attendees we will have to continue to provide our standard bottles of water and single use compostable cups to those that need them on the day. You can help us go one step further:

  • Do you have a reusable water bottle or keep cup? Bring it along. The venue has drinking water fountains and we would be happy to fill your bottle up on the day.
  • Sending giveaways to the fair? Please only bring enough for the fair or have plans in place to remove any remaining items at the end of the day.
  • Purchasing corporate flyers and pamphlets for the day? Ask your supplier to include a line on how it can be recycled once attendees have got the information they need from it.  

I am a courier setting up for an organisation or multiple organisations. How do I get in touch?

  • We are delighted to work with multiple courier companies across our fairs. We would recommend that you get in touch in advance of the fair to discuss your client(s) needs via employers@ed.ac.uk.

  • Please make sure that you read the sections of this page that cover material drop offs, where you can pay for parking and stand size. Please note that all organisation stands must adhere to the 2.5m stand space allocated. You will need to liaise with your clients regarding this in advance of the fair.

  • Catering and refreshments are not available for couriers as these have been booked and paid for by exhibiting organisations in advance. There are lots of great cafes near McEwan Hall that we would be delighted to recommend and direct your staff to.
